Texas Sports & Social Club Waco League Policy/ General Rules

 

THE RULE THAT SUPERSEDES ALL OTHERS - NO COMPETITIVE OR PHYSICALLY AGGRESSIVE PLAY! Play that is competitive, overly aggressive, rough and/or unsportsmanlike such as pushing, shoving, elbowing, shouldering, kicking, punching, tripping, hacking, slashing, sliding, tackling, ball blasting, chirping, name calling, threats and intimidation, is prohibited and will not be tolerated by Texas Sports Waco. Texas Sports Waco IS FIRST-AND-FOREMOST-FOR-FUN. ANY ROUGH OR PHYSICAL PLAY WILL RESULT IN IMMEDIATE EXPULSION FROM THE GAME, THE LEAGUE, THE CLUB AND/OR ALL OF THE ABOVE.  During any event, league, tournament or other Texas Sports Waco sponsored event, the team or teams that display these actions will be disqualified from play at the discretion of Texas Sports Waco staff.  If this is a championship game and both teams are disqualified then the team winnings will be donated. Once this decision is made it cannot be reversed an the team or teams have 5 minutes to leave the premises.

 

 

All players should go out of their way to avoid contact with other players and/or eliminate actions or behaviors that could jeopardize player safety.  If accidental contact occurs it is expected that players will apologize for that contact, ensure everyone is alright and stop the game to seek appropriate help as required.

 

 

 

If reports of this kind of behavior are received, whether instigating or retaliating, team captains as well as the players involved in the incident must report to the Coordinator, Texas Sports Waco.  At Texas Sports Waco's discretion one or more of following may result:

 

  • Player or team receives a verbal and/or written warning

  • Player is expelled from the game by the Texas Sports Waco staff on-site

  • Player is expelled for the season

  • Player and team are expelled from the season

  • Player is expelled from Texas Sports Waco for life

  • Team is disqualified from Championship

 

Under no circumstances will players or teams be granted a refund as a result of expulsion.

 

Teams can and will be held responsible for their players' conduct. If someone on your squad is behaving inappropriately, it is YOUR responsibility to keep him or her from doing so.

 

Red Card Rule** Should a player be ejected from a game by Texas Sports Waco staff for physically aggressive or overtly competitive play, or other unsportsmanlike conduct, including fighting/punching/kicking the team on which the ejected player is a member must play the rest of the game less one player.  For example, if the normal number of players on the field is 6 and one is ejected the team must play the rest of the game with just 5 players.

 

At any time, should you feel that a player on an opposing team is playing in an unsportsmanlike manner and is not complying with your requests to stop or change their behavior you may choose to end the game and leave the field.  

 

Texas Sports Waco prioritizes fun and player safety -- if the game is not fun and players feel unsafe the game should end and the team captain should notify Texas Sports Waco staff immediately.  Texas Sports Waco will pursue the appropriate disciplinary process for all players involved.

 

1) Team Captains: Captains are responsible for knowing the policies of  Texas Sports Waco outlined here as well as the rules of their specific sport. They are also responsible for making sure that their teammates are aware of these policies and rules.

 

  • Captains must ensure that all of the team's equipment is present at every game, whether they take it themselves or arrange for another team member to take it.

  • Captains are required to keep a complete and accurate record in Texas Sports Waco's system of all players on their team's roster (first name, last name and email address). Teams found to have incomplete rosters in Texas Sports Waco's system after the end of the second week of the season will be unable to play until the roster information is complete.  Captains can contact the Texas Sports Waco at Play@TXSportsWaco.com.com for assistance if required.

  • Captains are required to provide first aid supplies for their team.  See 4) First Aid, below, for more information.

 

Players: All participants must be 21 years of age to play in leagues and to attend events. This is a requirement of Texas Sports Waco and the legal responsibility of all players to comply. Texas Sports Waco reserves the right to check ID to confirm your age.  If you cannot produce ID, you cannot play.  If members are found to be less than the age requirements, they will be prohibited from further league play, without a refund.

 

 

 

 

Players wearing a cast or walking boot (moon boot) are not eligible to play. Knee braces, ace bandages and wrist casts are acceptable but only at the player's own risk. Pregnant women past the 1st trimester is an unnecessary risk and therefore not eligible to play. Texas Sports Waco reserves the right to make the final decision on any player's eligibility to play due to injury, illness or general safety concerns

 

Referee Duty (Leagues Only):

These individuals are your peers.  They play in the same leagues as you and should be treated with respect, even if you do not agree with the call.  All disagreements are handled by the team captains in a game of Paper, Rock, Scissors

 

2) Incidents Which Result in Loss of Permits: Any team involved with any incident that results in the loss of a permit, facility, location or field will be expelled from the league without refund.

 

3) Emergency Contact List: All team captains are advised to carry a list of emergency contact numbers for players on their team. In the event of an injury/emergency, these numbers can be utilized to notify the player's family in cases where medical treatment/attention is required. Captains are also advised to include a list of hospitals with emergency room service on this page. It will take the guesswork out of situations that are stressful and time sensitive.

 

4) First aid: First aid is the responsibility of the Team Captain. Team Captains are strongly encouraged to bring a first aid kit equipped with the following (at a minimum) to each game for use in the event of minor scrapes, sprains and bruises: ice packs, band aids, tensors and athletic tape. If an Texas Sports Waco representative is on hand when there is an injury, we will be happy to assist in any way we can. Texas Sports Waco will endeavor to have back-up first aid supplies on hand for captains to use, however, Texas Sports Waco and its representatives, are not responsible for providing these supplies or administering first aid.  Texas Sports Waco is not responsible for the cost of emergency care.  It is at the sole discretion of the injured player and/or team whether to call an ambulance.

 

5) Scores: Referees will report scoring to Texas Sports Waco League Coordinator.

Scores and standings will be posted on the players dashboard.

 

Teams that play by the rules, get to games on time and play with good sportsmanship will flourish!

 

6) Discrepancies: Discrepancies or arguments regarding scores, complaints or any other ambiguous item must be dealt with within 3 business days after the latest posting of the scores on our website for the week in question. During the final week of the regular season, any and all discrepancies must be resolved by 5pm the following day. Captains should ensure that the score of their game has been recorded correctly by checking the Texas Sports Waco website. PLEASE DO NOT CALL THE OFFICE LOOKING FOR SCORES – sometimes scores are delayed in being reported, but they will always be posted as soon as they become available.

 

7) Standings:  Standings are determined by forfeits, team with more wins (Winning percentage), head to head competition, team with higher points scored differential, points against, and points for.  All teams with a record forfeit will automatically fall to the bottom of any tie situation. Wins are worth 2 points, ties are worth 1 and losses are worth 0. If a team forfeits, they will lose 2 point. Standings will be posted here at the website.

 

Substitutions:

We understand that, despite your best efforts, registered members may not be able to attend every game.  We allow teams to bring substitute players for any of our leagues.  Subs must purchase a Guest Play Pass. The player that will be the sub must register themselves for and sign the waiver online (maximum of 3 games); see instructions during registration. Only players registered as sub (Guest Play Pass) are allowed to participate for liability purposes. Players not registered will result in a forfeit for your team.

 

Guest Play Pass (Formerly Sub Packs)

Substitutes (subs) are not allowed in Playoffs or Championship Games. Teams may only have subs if they are short the minimum amount of people to play up to 1 player over the minimum required on the field.

 

Some example include but are not limited to:

 

 Examples from 8 v 8 Flag Football (5 males maximum on the field; 3 ladies minimum on the field)

 

- 1 lady will be able to attend your next game, so you will need 2 more female, the 2 female sub may purchase the Guest Play Pass for that game.  

 

- You have only 4 males, that will be able to attend your next game. You many have the male sub purchase a Guest Play Pass to bring you to the minimum of 5 guys.

 

-*a team may pick up to 1 additional player that is playing in the same league up to the minimum number of player required on the field, to make an exhibition game (official game). (sticking with the Flag Football example 7 players on the field with to 2 females)

 

 

No Exceptions.

 

 

Substitutes and Playoffs:

No Subs during playoffs or Championship games.  The teams must play with original registered roster. Teams may add player up until time designated by each league (Late registration Free Agent fee). Playoffs: Every player must wear their shirt to participate in the Playoffs.  Note to Team Captains: The opposing Team Captain can challenge your roster during  Regular Season/Playoffs/ Championships. The challenge must be made by the end of half-time, for sports with no half-time, the challenge must be made before the final 5 minutes or last set of the game. If the Playoff game has started and the player has played at least one play, the game will continue but be considered a forfeit. If the challenge occurs during the Championship game the unregistered player will not be allowed to continue to play and the other team will be declared the Champion. If the challenge is made after the end of the game a forfeit will NOT be declared. Rosters are closed at the start of week 3 and no other players can be added.

 

8) Forfeits:

 

Forfeits: Teams that forfeit more than 2 games may be asked to leave the league without refund. If you know you may not be able to field a full team, please e-mail by 5pm on the preceding day, (Friday for weekend and Monday games); you should attend with as many people as you can and play pick up (all players must be registered and sign the waiver)...it is the fun and polite thing to do. Captains may agree to waive the rules regarding the minimum people but this should be decided before the game starts. The captain from the team that is short players should ask the other captain to see if the games can count (otherwise a forfeit is assumed). IF IT IS AGREED THAT THE GAME COUNTS, IT COUNTS!

 

If notifications are not received, the team captain will be invoiced for $40* and the opposing team will be rewarded with a gift certificate**(where applicable) to the sponsor bar for that season (this does not apply to free agent teams).

 

*Teams are required to complete the $40 payment online before they are eligible to play the following week. Teams that forfeit 2 times according our policies will be removed from the league without a refund, and must pay a fee to be reinstated back into Texas Sports & Social Club.

**Forfeit fees cannot be collected from teams who have dropped out of the league or during playoff/tournament games.  Therefore, opponents will not receive a gift card

Repeat Rule:
 

Competition is great, but a single team dominating the league consecutive seasons is not cool and not fun.

 

 

A team retaining more than three players that has won two championships seasons for which they have been registered, that team to will have to form two or more separate teams to promote balance in the league or withdraw their registration (no refund will be issued, league credit will be issued). The team will then have the opportunity to divide their roster (with no more than three retaining players) to form two separate teams with each subsequent roster approved by the Texas Sports & Social Club-Waco.

 

Teams that dominate leagues will be moved to a appropriate league or asked to separate if Texas Sports & Social Club staff believe that the team intentionally lost the Playoff or Championship game to circumvent the rules.

9) Dress: Only Registered players may play in our games.  Teams players are required to wear t-shirts of the same color. Players must wear the current  Texas Sports & Social Club shirt to ALL games.  This is a uniform.  Shirts will be delivered to the field no later than the 3rd week. Our staff will inform you when they are available for pick-up (by the team captain).

 

Teams are encouraged to customize and add creative, super-fun print to team shirts.  Make sure that:

There is no offensive language

Excessively large holes (usually from cutting off the sleeves)

 

 

Shirts are custom order and will arrive by week 2 or 3 depending on the vendor.

 

 

*Team Captains will still be able to challenge your roster; roster close week 2 of the season.

*If you do not wear your team shirt, will not be allowed to play.

 

Team will be issued Texas Sports Waco shirts by the 3rd game.  This shirt will be your team uniform and lets us that you are a registered player.

*Bring your ID, just in case a challenge comes by a opposing Team Captain

 

Teams are encouraged to customize and add creative, super-fun print to team shirts.  Make sure that:

There is no offensive language

Texas Sport and Social Club logo is not altered in any way

Removing sleeves causing excessive arm hole are not allowed

 

Also, see league specific rules for specific uniform requirements (i.e. Shorts with no pocket for Flag Football)

 

T-shirts are 50/50 poly/cotton Gildan brand men's sizes, ranging from Small to XXX-Large.  Be sure to choose a t-shirt size when you register, otherwise, women are issued mediums, men are issued large.

 

 

T-shirt Color Choices

 

Teams: Shirt colors are first come first serve by team captain request during completed registration. 

If another team captain registers and chooses a color that you have/would like first, then they will be awarded that color. 

 

If another team captain completes their team registration first (player minimum and gender minimum met), they will receive the requested color (if available), before the another team that requested the same color and does not meet the complete team requirements.

 

If two teams choose the same color or closely related colors, the first team to request the shirt will receive the color requested and the other team will go to 2nd or 3rd requested color.

 

 

Playoffs:

Every player must wear their shirt to participate in the Playoffs.  Note to Team Captains: The opposing Team Captain can challenge your roster during  Playoffs/ Championships. 10) Alcohol: DRINKING OF ALCOHOLIC BEVERAGES WHILE PLAYING IS FORBIDDEN! OFFENDERS WILL BE EJECTED FROM THE LEAGUE WITHOUT REFUND. No Exceptions.

 

11) Playoffs: Texas Sports Waco does our best to get as many teams playing in the playoffs as possible, however it is possible that NOT ALL teams will have a game during the final week of play. Players must check the schedule.

 

The following rules must be followed during playoffs:

 

  • -Texas Sports Waco is first-and-foremost-for-fun.  Texas Sports Waco reserves the right to remove from play-off action (and/or deny the title and trophy to) any team that scores less than 4 spirit points during a play-off game. Texas Sports Waco will not tolerate a win-at-all-costs approach to play-offs and will not reward with a league championship a team or players who do not respect the rules and spirit of Texas Sports Waco.

  • -No Bandwaggoners! To play on playoff nights players must have played on the roster from week 3 on for that team.

  • -A player is only allowed to play for one team in each playoff round. Players cannot sub in for another team during the same round, most particularly in a championship game.

  • Every player must wear their shirt to participate in the Playoffs.  Note to Team Captains: The opposing Team Captain can challenge your roster during  Playoffs/ Championships. The challenge must be made by the end of half-time. If the Playoff game has started and the player has played at least one play, the game will continue but be considered a forfeit. If the challenge occurs during the Championship game the unregistered player will not be allowed to continue to play and the other team will be declared the Champion. Rosters are closed at the start of week 3 and no other players can be added.

In the event that a play-off game cannot be played as scheduled due to inclement weather, facility closure or other reason beyond Texas Sports Waco's control the following course of action will be taken:

 

  • -Texas Sports Waco will attempt to reschedule only the top 2 games (1vs4 and 2vs3).  Other games will be played if facilities are available however the top 2 games will take priority if facility availability is limited.

  • -If rescheduling is not possible because of lack of facility availability before the season end date the following will happen:

  • -If the missed game is a first-round (of play-offs) match-up the first round games will be cancelled and teams ranked 1 & 2 in the league standings will meet in the final round, championship game. Teams ranked 3 & 4 will play each other in the final round.  All other match-ups will be played per Texas Sports Waco's usual play-off format.

  • -If the missed game is a final-round both teams that were playing in the championship game (vying for the league title) will be named co-champions. Both teams will receive a trophy or t-shirts (depending on the sport).

 

12) Indoor Sports: Respect the facilities: put things back where you found them, take all of your items with you and put trash in provided receptacles. Remember: you are in someone's work and/or learning environment.  Please be out by the hour specified on your schedule.  If you abuse this, game times will be made earlier and the league could lose its permits leaving you with NO REFUND and NO GAMES. This is in your hands. Enter and exit ONLY by the specified areas. Do not wander the facilities in areas other than the gyms. Showers are not provided.

 

13) Blood: Any player who begins to bleed during a game must leave the playing area immediately. This player cannot return to the game until the bleeding has stopped and the wound has been sufficiently covered.

 

14) Inclement Weather Policy:

 

Leagues may be canceled due to weather conditions, dangerous or unplayable field conditions, facility constraints, etc. Texas Sports staff makes every effort to play all scheduled games, thus we will not cancel games until absolutely necessary. Therefore, if you are calling/emailing concerning a decision on a cancellation, remember we will not have an answer until close to the start of the league, at the latest 4PM on the day of scheduled games in question.

 

All cancellations will be posted to two (2) outlets: Via opt in text message & to the email that is linked to your player dashboard. Texas Sports Waco will NOT notify players via phone of this cancellation. It is the captain's responsibility to inform all teammates of any cancellations. If inclement weather develops during league play, Texas Sports staff will attempt to contact those remaining teams scheduled to play that day/night. Depending on the time of cancellation, some teams will have to be notified on site.

When games are canceled, follow the schedule posted on your player dashboard. The games that were canceled will be made up towards the end of the season if time allows. Texas Sports reserves the right to run a shortened season without a refund. Texas Sports also reserves the right to schedule games on days and locations other than your regularly scheduled league day/night/venue if necessary.

 

1st rainout: same day or play for the make up game.

2nd rainout: Any day based on availability.

3rd rainout or more: Credit for future season.

 

*Texas Sports & Social Club reserves the right to reschedule any game for a day other than your normal day of play due to facility constraints. *Weather supersede forfeits.

 

In the event of severe weather (thunderstorms, lightning, snowstorms, etc.) outdoor games should immediately be stopped and players should take cover away from open spaces. Wait 15 minutes; if the severe weather passes, continue play. If it does not and the game was in the first half, the game must be re-played. If it was in the 2nd half, then the score at that time of when the game is stopped will count as the final score.

 

*If a game is re-played, the game will start with the score that was totaled at the time when the game was called. As well, the game length will be the amount of time that was remaining in the original game*.

If rescheduling is not possible because of lack of facility availability before the season end then the affected games will simply be removed from the schedule/standings.

 

See Play-offs (#14) for an explanation of how facility closures caused by weather will affect the Play-offs.

 

15) Metal Cleats: Metal cleats are not permitted in any Texas Sports Waco leagues.

 

16) Rescheduling: Cancellations/Change of Venues and/or Change of Time/Days may occur on Short Notice. Players are strongly encouraged to check the Texas Sport Waco website immediately before heading out to a game to be sure they have the most up-to-date game location/schedule information.Every reasonable effort will be made to reschedule games that are missed during the regular season for reasons including but not limited to facility closure and game stoppage due to inclement weather.  Rescheduled games are not guaranteed. See the Refund Policy below for more information.

 

17) Contact Information: Texas Sports Waco members' contact information is NOT provided to their team captains, in the event that players need to communicate regarding league issues, all players can communicate via the player Dashboard. If players wish to give their contact information out, that will be at their own discretion. Groups or individuals who take or use this information for any other purpose than communicating about Texas Sports Waco league activity will be ejected without appeal or refund and prosecuted to the maximum extent of the law. Texas Sports Waco will NOT sell or distribute contact information to third parties.

 

18) Park/Facility Rules:

  • Absolutely NO glass bottles, funnels or coolers are allowed on the field.

  • Teams are responsible for properly throwing their trash away after the game.

  • Pets are allowed at the parks but NOT on the fields.

  • Security, lock your car and keep anything of value in your trunk where it cannot be seen. Texas Sports Waco is not responsible for any items that is lost, stolen, misplaced, etc.

  • The above rules also apply to your guests and you are responsible for them.

19) Injuries

​Players participate in Texas Sports and Social Club at their own risk.  Athletic or event endeavors can be inherently dangerous. Texas Sports and Social Club does not provide health insurance to any player and does not refund players' fees if they are injured.  Players understand the risk and should think twice about playing if they do not have health insurance coverage.

 

 

"​​This is Trash Fee"

There is a $30 fee to clean up your field/facility space after the game.  Please place trash is the trash cans, and take all personal items with you.  Team Captains will receive an invoice for the fee that must be paid before your next game.  Any unpaid invoices must be paid before any player on said team will be allowed to register for future seasons.

 

Waivers

All players, new, returning or substitute, MUST sign the online waiver before taking the field/court.  Waivers/sign in sheets must be signed each season.  Waivers signed in previous season are null and do not apply to current season play.

 

Waivers are to be filled out online as part of the registration process, and the team sign in sheet returned back to Texas Sports Waco before players begin to play. Teams with players who have not signed the waivers will not be allowed to play until all players on the roster have signed the waiver.  Players who are found to be playing without having signed the waiver will be ejected from the game and/or the league, without refund.

 

 

Registration & Refund Policy

 

Starting July 2016:

 

 

REGISTRATIONS:

 

Team and Individual registrations for Texas Sports Waco's leagues and events are only complete, and a spot in the league or event secure, when Texas Sports Waco has received:

 

1) Membership fee

2) complete registration information, AND

3) Payment in FULL

 

Texas Sports Waco's registration policy is FIRST-TO-PAY, FIRST-TO-PLAY.

 

There is a processing/convenience/club fee for all online payments.

Texas Sports Waco will charge an administrative fee of $35.00 for all NSF checks received for league or event registrations.

 

Team Minimums

Teams that do not have the player minimum. Team Captains will be responsible for any unpaid fees for unfilled roster spots (open team spots below the minimum players needed). Unpaid fees will be reassigned to the team captain for payment on close of registration.

Team Captains that register a team, but do not pay for a full team will  divided to other registered team or all players will receive a league credit to their player dashboard if no spots on other teams are available.

 

Unpaid Invoices

Team Captains will receive an invoice for the fee that must be paid before your next game.  Any unpaid invoices must be paid before any player on said team will be allowed to register for future seasons.

 

REFUNDS:

All payments are final, non-refundable, non-transferable.  When you register, we custom order a shirt in your size, take you into consideration as we create evenly distributed teams, and even turn other potential players away if we sell out the division.

 

Texas Sports Waco reserves the right to combine leagues after the registration deadline (such as, but not limited to recreational and intermediate divisions of the same sport on the same night) as necessary in order to avoid cancelling leagues or turning away interested players. Players may be informed of this change but no refunds will be issued in this case.

 

To be clear, NO REFUNDS will be granted in the following situations:

  • Once a player has registered.

  • After the registration deadline date.

  • Players are not enjoying the league in which they have chosen to play, for any reason.

  • Player injuries, change in physical condition or changes in personal circumstance (such as new job, shift change or moving out of town).

  • Teams or individuals suspended or ejected from Texas Sports Waco leagues due to any breach of v Policy.

  • Game cancellation due to facility closure.

  • For games that were forfeited, cancelled or rescheduled or any reason, including inclement weather.

  • League cancellation

  • Leagues that become discounted during the registration period.

  • Registration may be applied as league credit (if we are notified 72 hours before the first game) less the shirt fee and $15 transfer/deferral fee.
